Fee & Refund Policy (AY 2025–26)

Effective Date: 25.02.2026

  1. Policy Objective
    This Fee & Refund Policy establishes the binding terms and conditions governing fee payments, withdrawals, refunds, and related financial matters at Tenbroeck Academy for the Academic Year 2025–26.
    All parents/guardians are deemed to have read, understood, and accepted this policy upon payment of any fee to the School.
  2. Admission & Registration Fees
    2.1 The Registration Fee and Admission Fee are strictly non-refundable once paid and upon confirmation of admission.
    2.2 These fees cover administrative processing, documentation, seat reservation, and onboarding expenses.
    2.3 Admission shall be deemed confirmed only upon:
    a.) Full payment of the prescribed initial fees, and
    b.) Submission of all required documentation.
  3. Withdrawal & Refund Terms
    All withdrawal requests must be submitted in writing to the School Administration. The date of receipt of the written request shall be treated as the official date of withdrawal for the purpose of refund calculation.
    3.1 Refund Structure for AY 2025–26
    The following refund provisions shall apply:
    – 75% of the fee will be refunded if the child’s admission is withdrawn on or before 31st March 2025.
    – 60% of the fee will be refunded if the withdrawal happens on or before 31st May 2025.
    – If the child’s admission is withdrawn within the first four months of the academic year (June, July, August, September 2025), 50% of the remaining fee will be refunded. Prior intimation must be given on or before 31st July 2025.
    – No refund will be issued for withdrawals after September 2025.
    These clauses shall override any general refund expectations and shall be strictly applied.
    3.2 Additional Conditions
    • Admission/Registration Fee remains non-refundable in all cases.
    • Fees paid for any ongoing term are non-refundable unless covered under Clause 3.1.
    • No pro-rata refund shall be applicable beyond the conditions expressly stated above.
    • Any refundable amount shall be processed only after adjustment of outstanding dues, damages, penalties (if any), and administrative costs.
  4. Caution Deposit
    4.1 The Caution Deposit shall be refundable subject to:
    • Clearance from all academic and administrative departments
    • Adjustment of outstanding dues
    4.2 Refund processing shall be completed within 30 working days from:
    • Submission of a formal written withdrawal request, and
    • Completion of all clearance formalities.
    We request parents to take note of the timelines to help us ensure a smooth and transparent process.
  5. Cancellation of Admission by the School
    The School reserves the right to cancel a student’s admission under the following circumstances:
    • Non-payment of fees despite written reminders
    • Submission of false, misleading, or incomplete information
    • Serious breach of school discipline, policies, or code of conduct
    • Conduct detrimental to the safety, well-being, or reputation of the School community
    In such cases:
    • The parent/guardian shall be informed in writing.
    • An opportunity for clarification may be provided at the discretion of the School. • Refunds, if any, shall be determined solely by the School after deduction of applicable dues and administrative costs.
    • Approved refunds shall be processed within 30 working days.
  6. Excess Payment
    Any excess payment resulting from clerical, technical, or transactional error shall be: • Adjusted against future fee instalments; or
    • Refunded upon written request, subject to verification.
  7. Fee Payment Obligations
    • Fees must be paid on or before the notified due dates.
    • Delay may attract late payment charges as communicated by the School. • Continued non-payment may result in:
    • Withholding of report cards
    • Restriction from examinations
    • Suspension of academic services
    • Initiation of recovery proceedings
  8. Exceptional Circumstances
    In cases of genuine and documented exceptional circumstances (such as medical emergencies or government transfer orders), the Management may review the matter. Any concession or refund shall be at the sole discretion of the School Management and subject to applicable regulations.
    Nothing in this clause shall be construed as creating an entitlement to refund.
  9. Policy Amendments
    Tenbroeck Academy reserves the absolute right to amend, modify, interpret, or revise this policy at any time in accordance with institutional, regulatory, or legal requirements.
    The version published on the official website shall be deemed the operative version.
  10. Governing Law & Jurisdiction
    All matters arising out of fee payment, withdrawal, or refund shall be governed by applicable laws. Jurisdiction shall lie exclusively with the courts applicable to the location of Tenbroeck Academy.
